Privacy policy

Effective: [DATE THE SITE GOES LIVE]

This policy covers our website, iscanphoto.com, our scanning service, and iScanPhotoApp. In short: we collect as little as we can, never sell anything, and your photos stay yours.

Our website

  • No tracking. The site uses no cookies, no analytics, no advertising and no social-media trackers. It loads nothing from other companies' servers.
  • Server logs. Like every website, our host (HostGator) records basic technical information about each visit, such as your IP address, browser type and the page requested, to keep the site running and secure. We don't use these logs to identify you.
  • The scheduling form. When you request a session, we receive what you type in (name, email, phone, city and state, the service you're interested in and your notes) by email. We use it only to arrange your session and contact you about it, keep it no longer than needed for that and our business records, and never sell or share it except with the email provider that delivers it.
  • Gift certificates. When you order one, we receive your name, email address and (if you give it) phone number, the gift, the name of the person it's for and your message. We use them only to make, send and honor the certificate, and keep a record of the certificate so it can be redeemed.
  • Partner inquiries. When a business contacts us through the partner form, we receive the contact details and notes it sends, and use them only to reply and work with that business.
  • Tester feedback. If you're helping us test iScanPhotoApp and send feedback through our testers' form, we receive your name, email address and what you write. We use it only to improve iScanPhotoApp and to reply to you.
  • Buying iScanPhotoApp. Payments are handled by Stripe on its own pages, under Stripe's privacy policy. We receive your name, email address and what you bought, so we can send your license key; we never see your card details.
  • Downloads. The iScanPhotoApp installer and its optional tools are downloaded from GitHub, which receives your IP address as part of the download, under GitHub's privacy policy.

Our scanning service

Photos and documents you have us scan are used only to provide the service. Unless you ask us to keep a copy, we delete our working copies once you've received your files and confirmed they're complete.

iScanPhotoApp

The app's own privacy policy follows. It runs on your computer and doesn't send us your photos, names or faces.

iScanPhotoApp Privacy Policy

Effective: [DATE THE SITE GOES LIVE]

In short: iScanPhotoApp runs on your computer. Your photos, names, faces and catalog never leave it. We don't have accounts, analytics, advertising or tracking.

What iScanPhotoApp keeps, and where

Everything below is stored only in iScanPhotoApp's catalog folder on your computer (shown in Settings, where you can also move it):

  • information about your photos: dates, places, camera details, captions, keywords, ratings, albums;
  • small preview images (thumbnails) and face thumbnails;
  • the names and family relationships you enter;
  • faceprints: lists of numbers describing each face, used to recognize the same person again (see below);
  • the text iScanPhotoApp reads from photos, and a description of each photo's contents used for "search by what's in the photo";
  • an undo history of your recent edits, and problem reports (see below).

Your original photos are only read. They are never changed, moved, uploaded or deleted.

Faceprints (biometric data)

Faceprints are created only if you allow face recognition (asked the first time you use iScanPhotoApp; you can change it in Settings). They are used only to group and recognize faces in your own library. They are never sent to us or anyone else, and never used for any other purpose.

If you use family sharing, the faceprints of people you've named (and their names, family links, and the dates, places, captions and albums you added) are sent to the other PC you choose, directly over your home network or in an update file you carry yourself. They never pass through us. The other PC keeps them in its own catalog, where its owner can delete them the same way.

They are kept until you delete them: in Settings, "Delete all face data" removes every faceprint and face box at once, and uninstalling iScanPhotoApp offers to delete the whole catalog. We never hold faceprints, so we have none to keep, share or sell.

Your home network (phone backup and family sharing)

Only while you have phone backup or family sharing open, iScanPhotoApp accepts connections from your home network, and only for those two things: a phone sending photos to this PC (it needs the code in the QR code), or another PC running iScanPhotoApp syncing with this one (it needs the code shown on screen). These connections go directly between your devices and close automatically after a while.

If you pair PCs for automatic family sync, each paired PC keeps listening while iScanPhotoApp runs, and about once a minute sends a short "iScanPhotoApp is here" message on your local network containing only a random library number and a port number (no names or other personal information). Paired PCs then exchange updates directly, encrypted with a key only those two PCs hold; other devices can't read or send them anything. You can turn this off or forget a paired PC under "Phone & family". Photos sent from a phone are saved as new files in the folder you chose; nothing on the phone is changed. Use these features on your own network, not public Wi-Fi.

Scanning

Scanners are used through Windows on this PC: what you scan goes straight from the scanner (or your phone's camera, over your home network as described above) into new files in the scan folder you choose, and is added to your catalog like any other photo or document. Text in scanned documents is read on this PC to make them searchable. If you run scanning sessions for customers, the customer names, package sizes and notes you enter are kept only in this PC's catalog; copying a session to a customer's drive writes their scans with the names, dates and keywords you added.

Stories, backups and keepsake copies

Stories you type or record for a photo are kept on this computer with the catalog; recordings are only made while you press Record. Backups go only to the drive or folder you choose, and contain your photos and the whole catalog, including names, faceprints, family tree and stories, so keep the backup drive somewhere safe. Keepsake copies go only where you choose and contain the photos you included with their names, dates, places, captions, stories and family tree (no faceprints); anyone you give one to can see all of that. Checking files for damage reads your files on this computer only.

Photos you mark private are left out of keepsake copies and of family sharing; they stay in your library and in your backups. If you turn on saving details next to your photos (sidecar files), those files also hold the photographer, rights, story and where the original is kept, and they travel with the photos wherever you copy them.

When iScanPhotoApp uses the internet

iScanPhotoApp works fully offline, including its map. It connects only in these cases:

  • Update check (if enabled in this version): asks our server for the latest version number. Only your iScanPhotoApp version is sent, plus what every internet request reveals (your IP address).
  • Optional downloads: some tools (photo restoration, and a faster search model on computers with a suitable graphics card) are downloaded the first time they're needed, from our download server or the tool's original publisher. Only the file is requested; nothing about your photos is sent.
  • License key: entering a key is checked on your computer. Nothing is sent, and nothing "phones home" to check it later. Buying happens on our payment provider's web page, not in iScanPhotoApp.
  • Problem reports, only when you choose: if something goes wrong, iScanPhotoApp saves a short report on your computer. It contains the iScanPhotoApp version, your Windows version and where in iScanPhotoApp's own code the problem happened. Before saving, it removes file and folder names, people's names, your user name and email addresses. Nothing is sent unless you open the report, read it and choose to send, email, copy or save it.

What we receive

Only what you choose to send us: problem reports you send and emails you write to us. We use them only to fix problems and answer you, keep them for no longer than needed for that (at most 2 years), and delete them sooner on request. We don't sell or share them, except with service providers that help us run email, and when the law requires it.

If you buy iScanPhotoApp, the store or payment provider that handles the purchase processes your payment details under its own privacy policy; we receive only what's needed to provide your license (such as your email address and license key).

Children

iScanPhotoApp is meant to be bought and set up by adults. Photos of children in your library stay on your computer like any other photo.

Your choices and rights

Because your library stays on your computer, you control it directly: you can view, change, export or delete anything in it, delete all face data, or delete the whole catalog. For information we received from you (problem reports, emails), you can ask us to see, correct or delete it at support@iscanphoto.com. Depending on where you live (for example under the GDPR, or California, Illinois, Texas or Washington law), you may have further rights, which we will honor.

Changes

If we change this policy, the new version will come with an update of iScanPhotoApp and show its new effective date. We won't start collecting your photos, faces or catalog without asking you first.
